Using Microsoft Teams for Chats
Step 1: Open Microsoft Teams
- Launch the Teams desktop app, mobile app, or go to teams.microsoft.com.
- Sign in with your Microsoft 365 account.
Step 2: Start a Chat
- Click the Chat icon on the left sidebar.
- Click New Chat (✏️ icon).
- Type the name or email of the person you want to message.
- Type your message and press Enter to send.
Step 3: Use Rich Messaging Features
- Add emojis, GIFs, or stickers.
- Format text (bold, italic, bullets).
- Attach files using the paperclip icon.
Scheduling and Joining Meetings
Step 1: Schedule a Meeting
- Click the Calendar icon on the left.
- Click New Event.
- Fill in:
- Title
- Attendees
- Date & Time
- Description
- Click Send to invite participants.
Step 2: Join a Meeting
- From the Calendar, click Join next to the meeting.
- Or, join from the Teams channel or email invite.
Step 3: Use In-Meeting Tools
- Mute/unmute, turn video on/off
- Share screen or specific window
- Use chat, reactions, and raise hand
File Sharing and Collaboration
Step 1: Share Files in Chat or Channel
- In a chat, click the paperclip icon to upload a file.
- In a channel, go to the Posts tab and click Attach
Step 2: Access Shared Files
- Click the Files tab in a chat or channel to view all shared documents.
- Files are stored in OneDrive (for chats) or SharePoint (for channels).
Step 3: Co-Author Documents
- Click on a shared Word, Excel, or PowerPoint file to open it.
- Edit directly in Teams or open in the desktop app.
- Changes are saved automatically and visible to collaborators in real time.
Tips for Effective Use
- Pin important chats for quick access.
- Use @mentions to get someone’s attention.
- Create Teams and Channels for structured collaboration.
- Use Meeting Notes and Whiteboard for brainstorming.
